Editor's Note

So you have a newsletter and your subscribers list is starting to grow. The next question that you have to ask yourself is how are you planning its distribution? Today's NetDummy will help you address this question. There are three different methods to distribute a newsletter. They are: Distribute It Yourself, a Free Listserver Service or sign up with a professional list host. The former is not really recommended as it involves constant attention to accomplish your task.

We hope that you find this newsletter interesting and useful.

This guy loved Staten Island, but wasn't crazy about the ferry. I fyou missed a ferry late at night, you had to spend the next hour or so wandering the deserted streets of lower Manhattan. One day when he spotted the ferry no more than fifteen feet from the dock, he decided he wouldn't put up with an hour's wait. He made a running leap and landed on his hands and knees, a little bruised, but safe on deck.

He got up and brushed himself off, and proudly announced to a bystander. "Well, I made that one didn't I?" "Sure did," came the reply. "But if you had waited for a minute or two, the ferry would have been docked."

Send Your Own Newsletter

Before Choosing a Method...

Before deciding upon the best route to follow, let's just consider for a moment what is involved in distributing a newsletter.

Individuals usually ask to be added to your list, either by completing a form on your web site or by sending you an email. A good practice would be to send out a 'Welcome' email and add the new email address to your subscribers list.

Also when you receive requests for removal from your mailing list, you will need to: (1) Send out an email acknowledging the request and(2) Remove the email address from your database.

Then of course you mail out a copy of your newsletter to each subscriber on your list.

Does it sound easy? Well in truth it is, until your subscribers list starts to grow. If your advertising is effective, this will happen very rapidly. Dealing with a few or even up to 50 email requests a day may not be too difficult, but handling hundreds each day will soon become a nightmare.

If You Want To Distribute It Yourself

Start by opening a file in a simple text editor (such as Windows Notepad) and save it to your hard drive with a suitable name.

When you receive a subscription request, add it to the file as a single line entry.

One problem that you are going to be faced with as your list grows, is that finding addresses which need to be removed. You can either cope with this by using the 'Search' facility available from the menu bar or, better still, it is suggested that you enter your addresses in alphabetical order.

When you are ready to post out your newsletter simply open it up in your text editor, select the entire text (less your guide at the top of the page), and copy it to the clipboard.

Then, open up your email program to start a new message and paste the contents of the clipboard into the body of the message.

Next, open up your mailing list in your text editor and again select the entire list and copy it once more to the clipboard. Paste the list into the 'bcc' field of your email message. This is a crucial stage as, if you get it wrong you can end up with a newsletter that looks both terrible and very unprofessional.

Next enter an address into the 'To' field. This is the principal address to which your newsletter is being sent and is the address that all your subscribers will see in the 'To' line in the address header of the newsletter email.

Finally you should assign a name to the from line. Select the email address which you will be using to send out the newsletter. Then send out your newsletter.

Sign Up With a Free Listserver Service

If you decide that distributing your own newsletter is not for you, then the next possibility is to sign-up with one of the free listserver service providers. Here are some of the more established Listservers:

  • Listbot
Listbot will require you to carry their own advertisement in your newsletter. In addition, they have recently announced that they will be requiring those taking advantage of their free service to carry third party advertisements.
  • Coollist
Coollist also requires you to carry their own or third party advertisements.
  • Oaknet Publishing
Requires you to carry advertisements at both the top and bottom of your newsletter.
A quick search of the web will produce a number of providers for you to check out, and you may also find it helpful to search using the term "majordomo".

Sign Up With a Professional List Host

If you wish to avoid advertising, then the best answer is to choose a professional list host. Here is a short list of some. Remember an effective search will produce many more.

  • Biglist
Biglist has a set-up fee of $50 and a monthly starting rate of $40 for a list of less than 500 subscribers.
  • Sparklist
Sparklist has a rate of just $1 per 1,000. However, there is a onetime set-up fee of $25 (for a list of less than 2,000) and a minimum monthly fee of $50.
  • Dundee Internet Services, Inc.
For a basic mailing service, the set-up fee is $40. Additional charges include a monthly maintenance fee of $25 and charge for mailings at a rate of $0·45 per 1,000 based upon a message size not exceeding 8kb.
  • Newsletter Mailing
There is no set-up fee and costs start at $20 per month for a list of up to 2,000 subscribers. Thereafter, the rates are $25 per month for a list of between 2,001 and 5,000 subscribers and $30 per month for between 5,001 and 10,000 subscribers.
